Overview

CallFox ("we", "us", "our") operates an AI-powered outbound calling service for D2C brands to confirm COD orders before dispatch. This policy explains what data we collect, how we use it, and your rights.

Data We Collect

We collect the minimum data needed to operate the service:

  • Brand data: business name, contact details, Shopify store credentials (via webhook), and order data shared through the integration.
  • Customer data: name, phone number, and order details received from your store — used solely to place confirmation calls.
  • Call data: call duration, outcome (confirmed / cancelled / no answer), and anonymised transcripts for quality monitoring.
  • Usage data: pages visited, actions taken on this website, and device/browser type for analytics.

How We Use Your Data

  • Placing AI confirmation calls to your customers on your behalf.
  • Generating daily reports and your RTO reduction dashboard.
  • Improving call quality, voice models, and detection accuracy.
  • Sending transactional emails (onboarding, reports, billing).
  • Complying with legal obligations.

We do not sell your data or your customers' data to third parties. Ever.

Customer Consent & Calling

CallFox calls your customers on your behalf using the phone number they provided at checkout. By placing a COD order, customers provide their number for order-related communication — confirmation calls fall within this scope.

All calls are clearly identified as being on behalf of your brand. Customers can opt out of future calls by requesting this during the call or by contacting your support team.

Data Sharing

We share data only where necessary to operate the service with trusted infrastructure and AI providers, all bound by data processing agreements and handling data only as instructed by us.

Data Retention

  • Call recordings and transcripts: 90 days.
  • Order and outcome data: 12 months from last active date.
  • Account data: retained while your account is active, deleted within 30 days of account closure on request.

Security

All data is encrypted in transit (TLS 1.2+) and at rest. Access to production systems is restricted to authorised personnel only. We conduct regular security reviews.

Your Rights

You and your customers have the right to:

  • Request access to personal data we hold.
  • Request correction of inaccurate data.
  • Request deletion of personal data.
  • Opt out of non-essential communications.

Changes to This Policy

We may update this policy as the product evolves. We'll notify active brands by email if changes are material. The "last updated" date at the top will always reflect the current version.
